  • Reception/phones/Administrative Experience - 2+ years

  • MS Office/Outlook/Teams - Intermediate Excel/SharePoint
  • Bilingual Spanish

FULL DESCRIPTION 
 
The selected candidate will be responsible for: 
  • Answer, screen and transfer inbound phone calls. Receive direct visitors and clients.
  • Maintain electronic and hard copy filing system and office administration.
  • General clerical duties include data entry, photocopying, scanning documents, mailing, and emailing.
  • Open, sort and distribute incoming correspondence.
  • Maintain office supply inventories.
  • Keep visitor waiting area and front lobby clean and presentable
  • Manipulate, update, and analyze various purchasing reports in PDF, Excel, and Power BI formats
  • Properly code vendor invoices with applicable accounting details for cost allocation by AP team
  • Evaluate purchases to ensure Company policies and procedures are being followed properly
  • Assist with the creation of purchase order requisitions and receiving of goods and services in Company designated procurement system
  • Support Corporate Purchasing Manager with other activities as directed 
 
 
The selected candidate will also possess: 
  • Proficient in Microsoft 365 environment including Microsoft Teams, SharePoint, and Excel (Intermediate Excel skills a must, Advanced preferred)
  • Intermediate-level knowledge and experience of working in and storing of shared electronic documents properly
  • High school diploma (or equivalent-Required)
  • Computer skills and knowledge of relevant software
  • Understanding of Purchasing/Procurement practices and principles
  • Familiarity with basic accounting principles
  • Knowledge of operation of standard office equipment.
 
 
 
Salary Range: $ 22-$25/hr
